Virginia Statewide Trauma Registry

The Office of EMS is accepting comments on the proposed Virginia Statewide Trauma Registry (VSTR) minimum dataset projected for implementation in January 2014.  The purpose of gathering comment is to two fold, to provide advanced notice of intent to revise the minimum dataset and to solicit opinions that can be considered for the purpose of strengthening the dataset. OEMS is not required to solicit and this opportunity should not be interpreted to follow any formal public comment process.  The public comment time-line will be:

  • April 1 thru April 30 – Collect public comment;
  • May 15 – Release revised draft VSTRv3 minimum dataset documents;
  • May 15 thru May 31 – Collect final public comment;
  • June 6 – Seek approval of the revised VSTRv3 dataset from the State Trauma Committee;
  • August 9 – Seek EMS Advisory Board Approval of VSTRv3;
  • September 20 – Seek final approval of VSTRv3 by the State Board of Health;
  • January 1, 2014 – Update VSTR with new minimum dataset.

All comments will be reviewed and considered.   If a number of comments on any particular item are received we will provide a general response via an FAQ’s page on this webpage.  All comments will be posted at the conclusion of this process.  Those considering offering comment may wish to consider the same points that will be used by OEMS:

  • Does the comment deviate from the National Trauma Data Standard (NTDS);
  • Does the comment create an additional undue burden to those agencies utilizing a different software vendor than the OEMS uses;
  • Will the comment affect good statistical practice, performance improvement, or fulfillment of law, regulations, policies, or agreements;
  • Is the comment applicable on a system-wide/state-wide basis?

To provide your comments, click here or on the "Provide Public Comment on VSTRv3" link below Add your comment in the comment box next to the data element you wish to comment on.  Use the VSTRv3 Proposed Data Elements Short List or the VSTRv3 Proposed Full Data Dictionary documents below as the documents to comments on.  If the comment box already contains a comment use the first available row on the bottom of the table. If you do use a blank row be sure to note the element you are commenting on and your contact information.  Comments will routinely be removed (likely daily) and stored for consideration, so you may wish to make note of what you have submitted. To provide comment be sure to:

  • Limit comments to the items collected only
  • Comments not related to the elements being collected will not be considered.
  • Comments sent outside of this process will not be considered
  • Enter your name. In case we need to contact you with any follow up questions;
  • Enter your e-mail address. Be sure to include an e-mail address so that we can directly reach you with in the event we need to follow up with you about a comment;
  • Provide the name of the agency/entity you are representing - depending on the comment, it may be vital to know if the comment is being made by a software vendor, EMS agency, individual, or other group. Avoid the use of initials when noting an entity that could belong to multiple entities.
  • Comment - provide your comment(s)
    • Be brief!
    • Use a new row/line for each data element you are commenting on.
